myIO FAQs for Departments
Are you experiencing issues with myIO? This page will help you with the most common issues we have identified with myIO.
Why can't I log in to myIO?
If you have not attended a myIO training session, you will not be able to gain access to myIO. Please sign up for one of our monthly myIO training sessions if you have not already attended one. You will be authorized on the day of attendance. If you have attended a myIO training session, please make sure you are using the Department & ISSS Access link on the right hand side to login.
I accidentally entered the wrong name/date of birth for my scholar. What should I do?
Please contact the Faculty & Scholars Services team at email@example.com with the correct name/date of birth, and we will correct their record. If their name/date of birth is incorrect, you will not be able to find them in myIO.
Why is the second approver email/link not working?
Some issues can occur if you use a computer that is running Mac OS or iOS. If you are unable to access the link in the email, or you receive an error message when you open the link; please follow these instructions on how to clear up that error:
Not getting the email: There have been some reports of individuals using the Apple/Mac Mail program not getting the email. If your email address is on the Austin exchange server, we suggest trying to login to your email using Office 365 web application.
Link not working: Try a different web browser. We have noticed some issues with the link for second approvers and the Safari web browser. You can copy the link from the email and paste it into the Google Chrome web browser. Other web browsers known to work are:
If using one of the web browsers above and this is still happening, try clearing your browser’s cache and opening the email again. If you are unsure how to clear your browsers cache, Indiana University (the developers of myIO) has a helpful Knowledge Base Article on how to clear cache from the most popular web browsers.
Why do I still see the scholar in my "Current Cases"?
Scholars will remain in your Current Cases for 90 days after the last action is taken on their case. Your J-1 scholars will remain in your Current Cases for around 90 days after they attend J-1 Orientation, unless a new action is taken on the record.
What is "Network EID"; What is "University EID"?
The Network EID and University EID both refer to the UT EID. Please make sure that you enter the UT EID correctly in both fields. If there is a discrepancy, the scholar will not be able to login to myIO.
Why can't my scholar log in to myIO?
Scholars must login to myIO using the blue “Login” button on the left side of the screen. They will then need to enter their UT EID and password to login to myIO. They will not need to create a separate password for myIO.
If you only entered their UT EID in Network ID when you created their record, they will not be able to login to myIO. In this instance, please notify the Faculty & Scholars team by emailing firstname.lastname@example.org, so that we can investigate and update the scholar’s record to fix this issue.
Remember, it is important to enter the scholar’s UT EID in both the Network EID and University EID fields to avoid this problem.
What do the eform statuses actually mean?
There is a list of required eforms and a legend at the bottom in myIO to reference the symbols. Some of the most common statuses you will see are:
- Awaiting Answer: This means you have successfully submitted the eform and it is waiting second approval by the respective second approver (the sponsoring professor, department chair, or yourself).
- Pending Review: This means that the eform was successfully submitted (and secondary approval has been provided if necessary) and now one of our advisors must review the submissions and provide final approval.
- Complete: This means no further action needs to be taken on this eform.
When will the scholar be prompted to start submitting eforms in myIO?
As soon as you submit the Department Information Sheet, an automatic email will be sent to the scholar prompting them to login to myIO and begin submitting their eforms.
How do I fill out the J-1 Financial Information eform?
Please list all funding sources and the total amount of funding for the entire J-1 program for each source, then upload supporting documents as a PDF or JPEG file.
The sponsoring professor says they have not received the email requesting second approval. How can I resend the email?
In this situation please email the Faculty & Scholars team at email@example.com with the J-1 scholar’s EID and we will send a reminder email through myIO to the second approver. It could also be because of the issue noted above in the "Second Approver" email.
How do I log in to myIO to provide second approval?
When you receive an email prompting you to provide second approval for a request, first you will click the link in the email to go to myIO. Please make sure not to open this link with Safari or Internet Explorer. When you are taken to myIO, the login credentials should auto-populate and all you need to do is click “login”. Please never save these credentials, because each second approval email comes with a unique set of login credentials. These credentials are NOT the same as your EID and password.
How can I request a J-1 extension for a scholar? Do I need to add them to myIO?
All scholars who are currently at UT Austin on a visa status sponsored by the university should have records in myIO. So when you log in to myIO, select the “Extension for an existing J-1 Visitor” in the menu below Departmental Services to begin the extension process.
I have initiated a J-1 extension request in myIO by filling out the Department Information eform. Do I need to do anything else?
Yes, you need to also upload the new offer letter for the scholar after filling out the J-1 Financial Information eform. This needs to be done even if the scholar is self-funded.
I initiated an H-1B request in myIO but noticed I made a mistake. How can I correct this?
Once the eform is submitted but not yet approved by a scholar advisor, you should have the option to cancel the eform to make changes to it, then resubmit it. When the eform has already been approved, you will need to contact firstname.lastname@example.org to inform us of the issue. A scholar advisor will re-set the eform to a draft status in order for you to make any corrections to the eform and resubmit.
I have initiated an H-1B request through myIO and uploaded copies of the required forms. What happens next?
The scholar is notified that their department has initiated an H-1B request and is prompted to submit their required forms. A scholar advisor in Texas Global will start processing the H-1B request after all required forms and documents are submitted. The scholar will be able to see the exact H-1B stage the advisor is working on by logging on to myIO and clicking on the same link they used to submit their forms.
What is the "Documentation of Employees in the Same Job Classification" eform? Why is this required?
The “Documentation of Employees in the Same Job Classification” eform is used to compare the education and work experience of the H-1B employee to other similarly situated employees. This information is used to ensure that the H-1B employee is being paid the appropriate wage as required by the federal regulations. If there are no similarly situated employees, please write “None” for all the required fields to submit the eform.
What is an APS/EEO and why is it requested when I initiate a Lawful Permanent Residency Request?
